Job Summary

The Event Operations Coordinator is responsible for various event technology tasks and activities, ensuring event technology operations run smoothly, efficiently, and effectively.

This role provides technical assistance and coordination of various events to meet our client’s needs. The ideal candidate must have a strong background in meeting & event software, be customer service oriented, demonstrate sound judgement, pay attention to details, be organized, work effectively both independently or collaboratively, exhibit patience, and ensure thorough follow-up.

Clients currently support a hybrid work environment; however, they have the option of returning full time to the office.

 

Essential Duties and Responsibilities

Responsibilities include but not limited to the following items:

  • Event Metrics: Responsible for running monthly event reporting.
  • Project Numbers: Creates project numbers for the Creative Element Events team in SAP | Communicates the information to the team.
  • Technology Builds: Creation of registration websites, virtual experiences, and/or mobile apps for all events. 
  • Daily Technology Operations: Support Events team as a day-to-day operations focal point (troubleshooting and support for users). 
  • Compliance | Event Technology Work Processes: Supports the creation and maintenance of event technology work processes and maintains the event technology file share.
  • Technology Awareness: Active participant in the monthly event technology calls to keep current with platform enhancements, trends, and technology roadmaps.  
  • Internal Partner Technology Focal Point: Work in close collaboration with Event Lead to curate project-specific technology solutions.  
  • Technology Quality Assurance: registration process, communications, websites, virtual websites, and mobile apps to ensure Client branding, trademark/copyright, and legal needs are met. 
  • Badging Tools: Maintain badge printer kits and keep iPads up to date. 
  • Event Technology Training: provide 1:1 training or set up training plan. 
  • Team Trainings: Assist Operations Specialist in event technology training sessions. 
  • Collaboration: Regularly collaborate with the Event Operations Specialist, Design/Engineering/Studio/Platforms & Technology to create new solutions and efficiencies. 
  • Industry Trends: Stay current on technology trends, industry best practices, and emerging capabilities.
  • Other related duties as assigned.

Qualifications:

  • Ability to work with all levels of employees within the organization
  • Strong competence in Meeting & Event software technology
  • Ability to keep sensitive information confidential.
  • The ability to remain calm under pressure.
  • Ability to present/train users in a larger team setting.

Preferred Qualifications:

  • High School Diploma or equivalent.
  • 2-4 Years meeting & event software experience.
  • 4 Year degree in IT, is a plus.
  • Experience in website creation/maintenance
  • Experience with Microsoft Office

  • Typical work week is 40 hours Monday – Friday with the potential for approved overtime.
