Job Description

• Coordinate the end-to-end daily inbound/outbound logistics operations for AV equipment, including Transportation (Linehaul/first/last mile/White Glove, TL and LTL, Parcel, Ocean Imports, and Air Freight), scheduling, and tracking of equipment between a designated AVI-SPL QCC, local warehouses, and client sites.
• Will work directly with QCC and warehousing staff on-site to plan and prep outbound shipping.
• Collaborate with internal teams, including Logistics, sales, operations, and technical support, to understand client requirements on a shipment by shipment basis.
• Prepare and manage delivery schedules, ensuring optimized routing/consolidations and timely delivery of equipment to multiple locations with approved carriers and agents.
• May require manual BOL entry and tender or booking through approved vendor TMS/websites. Confirm pieces, weight, and dimensions of all shipments.
• Verify site contact details and keep local offices apprised of ETAs and Exceptions

• Make pre-calls to pick up or delivery location personnel to confirm schedule, notify of, or receive, changes and or updates pre pickup and/or pre delivery, to discuss site surveys, convey order updates and receive final instructions.
• Be an escalation point for transportation vendors and customers. Document operational issues/exceptions with carriers/agents in real time to ensure minimal disruption to client services.
• Ensure proper BOL notation of Overage, shortage or damage (OS&D) exceptions and gather all necessary data for the filing of freight claims.
• Verify transportation quotes are in line with vendor rate agreements/tariffs.
• Negotiate spot rates when needed with transportation vendors within a predefined limit and monitor compliance with service level agreements.
• Audit transportation vendor invoices with correct GL coding for AP including correct pro rating of multiple jobs in the case of consolidated truckloads or airway bills.
• Ensure all transportation vendor invoices are supported by hard copy POD (Proof of Delivery)
• Responsible for following documents control processes and procedures to retain BOLs, PODs, Pre shipment digital photos of freight, Loaded digital photos of freight, and digital photos of freight upon delivery to site.
• Identify areas for process improvement and recommend streamlined logistics procedures to enhance operational efficiency.
• Stay updated on industry trends, regulations, and best practices related to logistics and supply chain management in the AV equipment industry.
• Other duties assigned as assigned by Senior Logistics Coordinators and Management.

• Advanced data entry and organizational skills
• Intermediate PC skills and working knowledge of Office Suite (Excel, Word)


Education and/or Experience


• Bachelor's degree in business administration, logistics, supply chain management, or a related field, or Equivalent work experience.
• Proven experience (3+ years) in transportation/logistics coordination of high tech/high value freight across multiple locations.
• Strong knowledge of logistics and supply chain management principles and best practices.
• Familiarity with DOT, FMCSA and TSA regulations and requirements
• Proficiency in using logistics management software and tools to track shipments and inventory (e.g., ERP systems, warehouse management systems, TMS).
• Familiarity with AV equipment, including audio systems, video projectors, lighting equipment, and other related technology is a plus.
